Minutes of Committee Meeting Thursday 18th August 2011 Burns Pet Nutrition 7.15pm.
Rob Hunt, Terry Wells, Wendell Thomas, Owen Harris, Julie Evans Apologies for absence Geraldine Lewis and Gary Harper 2) Minutes of the meeting held on 19th May 2011 These were accepted as a true record and were approved for posting on the website. 3) Matters arising not in the main agenda. None 4) County Bird Recorders Report The Recorders reported that we are up to date with all submissions to both the National and Welsh Rarities Committees. It was reported that more descriptions are being submitted at the time of the initial record and with a little chasing it is hoped that all necessary descriptions will be available by January so that the writing of next report may begin promptly. Rob reported that the 2010 Report was at the printers and the cost of printing would be £850. Wendell and Owen would mail it to all members with the AGM notice. It was reported that there were now less than 30 of last year’s report left which is a satisfactory situation.
6) Programme of meetings Details of the meetings are published on the web site as usual. Recent events had been successful with 19 at the Tern Watch, 11 attending at Pembrey CP in July and 14 at the Talley outing in June. There is still a vacant slot at the end of the indoor meetings and it was suggested that the County Conservation Officer, Isabel Macho be approached to give a talk. Terry and Wendell to liaise on this. 7) Secretary’s Report There was nothing to report and discussion centred on arrangements for the AGM. The outcome was that Owen would prepare the mailing to include notice of the meeting with a membership renewal form. The newsletter, minutes and Annual Bird report will also be enclosed. Wendell and Owen would be responsible for the mailing, with Julie supplying the newsletter and labels. It was agreed that those members who have not renewed their membership are still entitled to the report but would also receive a reminder asking them to renew. Terry to supply names and addresses. 8) Newsletter It was felt that it was overdue that Julie be officially recognised as Newsletter Editor rather that as an ordinary member of the Committee. The next newsletter will be published shortly. Julie made the point that requests for articles have produced no results and it was felt that personal requests should be made to individuals. 9) Treasurer’s Report A set of accounts for the year to date are appended filed with these minutes and show an almost unchanged healthy balance even once the invoice for the Report printing is settled. Research by the Treasurer has revealed that in order to claim gift aid is to register with the Tax Office and this required the Committee submitting their national insurance numbers. There was some disquiet about this and the matter was let open for Committee members to reflect on this requirement.
No complaints have been registered and all felt that the site was working well.
Terry informed the Committee that the BTO Atlas for Carmarthenshire (and certain other counties) has been extended for a year to allow some of the gaps to be filled. The BTO internet facility dedicated to reporting sightings will remain open. Terry reported that the Brecon Beacon Ranger was seeking adults to work with children on birding issues. The issue of child protection was raised and Terry undertook to seek clarification on this issue before we decide whether to pursue the question further. John Lloyd has raised the issue of whether sightings recorded on the website could be in some way linked to tetrad squares. Owen reported that this was under consideration and therefore undertook to continue to pursue the matter in conjunction with Mark Newton.
